Alix Services ("we," "our," "us") is responsible for protecting the personal information collected in connection with its activities in Gatineau, Quebec. For any questions, contact us at administration@alixservices.ca.
2. Information We Collect
We only collect the information necessary to provide our services:
- First and last name
- Property address
- Email address
- Phone number
- Information about your property (size, type of services requested)
2b. Collection via the Quote Request Chatbot
Our site at alixservices.ca/en/free-quote features a conversational assistant that collects the following information to prepare your quote:
- First name
- Email address
- Property address
- Answers to the quote questionnaire (property type, services requested, approximate size, priorities)
This information is transmitted via Make.com and stored in Airtable (our lead management tool). It is used exclusively to prepare a personalized quote for you and is never resold or shared with third parties.
If you start the form without completing it, the information you have already provided (first name and email address) may be used for follow-up purposes after a delay of about one minute. You may request the deletion of this data at any time by writing to administration@alixservices.ca.
As part of preparing your quote, your address is analyzed using Google Maps APIs (geocoding, Street View, Distance Matrix) to assess your property's characteristics. Street-view and satellite images of your property may be analyzed by artificial intelligence (Anthropic/Claude) to estimate visual characteristics (vegetation, estimated size, etc.). This data is used exclusively to personalize your quote and is not retained by these third parties beyond the immediate processing.
An assessment score and a recommended package price are calculated automatically from this data to offer you the package best suited to your property. This recommendation is then reviewed and validated by a member of our team before being sent to you. It is never based solely on automated processing. You may at any time request an explanation of the estimate provided to you, or request an adjustment, by writing to administration@alixservices.ca.
2c. Subprocessors Involved in Processing
The following providers process your data as part of our services:
- Netlify, Inc. — website hosting, form submissions, and client file storage
- Google LLC (Maps APIs) — geographic processing and visual property analysis
- Anthropic, Inc. (Claude AI) — AI-based image analysis
- Klaviyo, Inc. — email marketing communications
- Airtable, Inc. — lead data management and storage
- Make.com (Celonis SE) — data flow automation
- Techni-Snow (snow removal partner) — receives your name and property address to plan snow removal visits
- Meta Platforms, Inc. (Pixel/CAPI) — advertising campaign performance measurement
- Stripe, Inc. — secure payment processing
All of these providers are subject to privacy policies compliant with applicable laws. Your data is only shared with them to the extent necessary to provide the service described.
Transfer outside Quebec: several of these providers process or store information outside Quebec, including in the United States. Before entrusting them with your information, we ensure they offer adequate protection under Law 25 and that processing is governed by contract.
Retention period: leads are retained for 12 months after the last contact. Beyond this period without contact, your data is deleted or anonymized in accordance with Law 25.

3. Use of Information
Your information is used exclusively to:
- Prepare and send you a personalized quote
- Plan and coordinate agreed-upon services
- Send you communications related to your services (seasonal reminders, visit confirmations)
- Improve our services
We do not sell, rent, or share your personal information with third parties, except as required by law.
4. Retention
Your information is retained for as long as necessary to provide our services, or as required by applicable law. You may request the deletion of your data at any time by writing to us.
5. Security
We take reasonable measures to protect your information against unauthorized access, disclosure, or destruction.
6. Your Rights (Law 25)
In accordance with Quebec's Act respecting the protection of personal information in the private sector ("Law 25"), you have the right to:
- Access the information we hold about you
- Request correction of inaccurate information
- Request deletion of your information
- Withdraw your consent to marketing communications

7. Cookies
Our site uses three types of cookies:
- Google Analytics — audience measurement: number of visitors, pages viewed, and traffic sources, to understand and improve site performance.
- Google Ads — remarketing and measurement of our advertising campaigns (for example, recognizing that a visit came from one of our ads).
- Meta Pixel / Conversions API — measurement and optimization of our advertising campaigns on Meta platforms (Facebook, Instagram).
Advertising cookies (Google Ads and Meta Pixel) may be linked to information that identifies you, particularly when associated with a quote request containing your name and email address. They are therefore not anonymous. The relevant providers are listed among our subprocessors in section 2c.
Your consent: audience measurement and advertising cookies are disabled by default. They are only activated after your consent, given through the banner shown on your first visit (Accept, Decline, or Customize your choices by category). Only cookies strictly necessary for the site to function remain active at all times.
You may change or withdraw your choice at any time using the "Manage Cookies" link at the bottom of every page, which reopens the choice banner. For any questions about cookies, write to us at administration@alixservices.ca.
